Job Accountabilities / Responsibilities Document Management Receive, organize, label, archive, and distribute project documents (e.g., contracts, reports, technical specifications). Maintain and update document control systems, ensuring version control and accessibility for stakeholders. Prepare and compile contract documents, progress reports, and financial invoices for client submission. Coordination & Communication Arrange meetings with clients, consultants, and contractors; prepare and distribute meeting minutes. Disseminate contract documents and correspondence to relevant parties. Collaborate with suppliers and internal teams to ensure timely delivery of project Documents. Compliance & Quality Assurance Ensure all documentation complies with company standards and regulatory requirements. Monitor document workflows to avoid delays or errors, and conduct regular audits for accuracy. Support & Reporting Assist managers in tracking project schedules, budgets, and deliverables. Generate document status reports and maintain records for future reference. Job Holder Requirement Qualifications: 1. Bachelor’s degree in a relevant field (e.g., Business Administration, Engineering, or Information Management). 2 Proficiency in English (written and spoken); additional language skills are a plus. 3 Advanced computer literacy, including MS Office (Word, Excel, PowerPoint) and document management software (e.g., SharePoint, Aconex). 4 Detail-oriented with strong organizational and multitasking abilities. 5 Proactive problem-solving skills and ability to work under tight deadlines. 6 Team player with excellent communication and interpersonal skills Experience 1 3+ years of experience in document control, project administration, or related roles. 2 Familiarity with project lifecycle documentation from engineering, procurement, construction, to commissioning and handover. |
